As a member of the third rollout phase in this tiered rollout, you will go live on Abnormal beginning Monday, September 15. We are replacing our current email security system, Proofpoint, with Abnormal Security

Replacing Proofpoint with Abnormal

To improve the security of our company e-mail, reduce our exposure to phishing attacks and improve user experience, we will soon transition all of BW from Proofpoint to Abnormal Security. Abnormal has proven to be more efficient in detecting and blocking sophisticated threats by leveraging advanced artificial intelligence and behavioral analysis. This allows it to identify even subtle malicious activity more effectively than traditional solutions.

In addition to Abnormal’s impressive performance, it also integrates with and augments Microsoft’s security services (especially with Microsoft Defender for O365). This will enable us to fully utilize our existing Microsoft licensing, providing layered protection without redundant tools. This approach improves security, reduces complexity, and positions us to be better prepared to defend against modern and advanced e-mail-based threats.

Regarding the “Proofpoint Daily Digest” E-mail
Once you’re live on Abnormal, you will no longer receive the Proofpoint Daily Digest e-mail. Instead, messages that previously appeared in the digest will now be automatically filtered between the Graymail and Junk folders, described below. This new process eliminates the need for a daily digest and will provide team members with a more seamless way to manage unwanted e-mails directly within Outlook.

Important Details About Graymail and Junk Folders
You will have two new mailboxes to check regularly once you are migrated to Abnormal Security the week of September 15.

1.  Graymail will appear as a regular folder in your list of Outlook folders. Bulk e-mails that you’ve subscribed to or previously interacted with but may not always want directly in your inbox, are likely to filter here. This can include newsletters, promotions, marketing/sales e-mails, and social media notifications.

You can train the new system to recognize which of these e-mails you want to be delivered to your inbox!

If a legitimate message ends up in your Graymail folder, simply drag and drop the e-mail into your inbox. Abnormal Security will learn from this action and deliver future e-mails from this sender directly to your inbox. Conversely, if a marketing or promotional message is delivered to your Inbox, drag and drop that e-mail into your Graymail folder; and once again, Abnormal Security will learn from this action and deliver future e-mails from that sender directly to your Graymail folder.

NOTES:

  • We have created policies to ensure e-mails from specific trusted partners (including Dayforce, Workday, Principal, and Vitality) bypass the Graymail folder and are delivered directly to your Inbox.
  • The drag-and-drop method described above does not currently apply to Junk Email, which you’ll read about next. This feature will be in place for Junk Email later this fall, once the full transition to all of BW is complete.

2.  Junk Email: Messages that are obvious spam, unwanted bulk mail, or borderline suspicious will be delivered to the Junk Email folder. Note that there is a 30-day retention policy set for the junk folder.

💡 Abnormal Tip: One team member who is already live on Abnormal suggests dragging the Junk Email and Graymail folders to the top of your Outlook folder list so you can quickly check them regularly. You can also consider dragging them into your favorites, as shown here.

Here’s how to manage “Junk” and “Not Junk” messages (drag-and-drop capabilities not available yet; will be available later this fall):

To mark a message as “Junk”:

1. Right-click on the e-mail in your inbox.

2. Hover over the “Junk” option in the context menu.

3. Select “Block Sender.” This adds the sender to the Blocked Senders list, allowing future messages from the sender to be delivered directly to your Junk folder.

To mark a message as “Not Junk”:

1. This has to be done from your Junk e-mail folder. Navigate to the Junk folder, then right-click on the message you want to mark as safe.

2. Hover over the “Junk” option in the context menu.

3. Select “Not Junk.” The message will be moved back to your Inbox. This action adds the sender to the Safe Senders list, allowing the Outlook client to recognize similar e-mails as safe and deliver them to your Inbox in the future.

Please contact the IT Service Desk or Design Group Help Desk if you have any questions about this transition to Abnormal. Thank you.
