Navigating AI: Policy, Practice and Protection

Today, it is difficult to avoid the talk of artificial intelligence (AI) and its effects on technological and societal development. AI has quickly become a part of everyday life and has emerged as a powerful, complex tool in the workplace. Along with the many benefits of AI come significant risks (data privacy, security breaches, legal liability and intellectual property theft being a few).

To help you protect yourself and your work, earlier this year, we established BW’s policy on the use of generative AI. You'll find this policy at bwpolicies.com/global; once there, select your language, then select “Use of Public Generative Artificial Intelligence (AI) Policy.” This policy was created to ensure AI is used ethically and responsibly, while allowing BW to remain aligned with our core values and norms.

At this time, only two generative AI tools have been approved for use by BW team members: Microsoft Edge Copilot and Anthropic Claude.ai

  • AI solutions that are currently in use but are not part of an authorized proof of concept will be reviewed to determine risk and benefit level.

  • Going forward, if you encounter needs beyond BW’s approved AI technologies, please collaborate with your leader to justify the use case for your preferred solution. Then, follow the Software Approval Process to submit your request.

Please keep the following in mind when using AI:

  1. Carefully review BW’s AI policy to ensure that you are familiar with the expectations of use and to help reduce the unnecessary exposure of sensitive company and personal information to bad actors and other risky parties.
  2. Use AI as an assistive device to guide you through mental blocks on projects, writing assignments and other similar prompts.
  3. Always carefully review AI-generated content. AI sometimes returns inaccurate, false or biased supporting data, as well as absent or incorrect citations.

We also recommend this AI Chatbot Training module to learn more about the benefits and the risks that come with using AI.
